Introduction

This Entelar Group Careers Privacy Policy explains how we collect, use, store and share your personal information. We hope you find it clear and easy to understand.

Where this Policy says Entelar Group, “we” or “us”, it means Entelar Group Limited.

“Personal Information” is any information that is about you personally or can be used to identify you. This information will include, for example, your name and contact information, resume, CV, academic transcripts, interview records and reference information.

This Privacy Policy applies whenever you use the Entelar Group Careers portal, including onboarding as an Entelar Group employee if you are successful in your job application. It does not apply to the use of Entelar Group’s products and services or any interaction you have with Entelar Group in relation to an Entelar Group account for services.

Updates to this policy

From time to time we may update this policy. We will provide you notice of any changes by posting the updated policy here. If the changes are significant, we may also notify you directly. If you aren’t happy with the changes you can choose to delete your profile and information.

How we collect your information

We collect information from you when you use our Entelar Group Careers portal, when you communicate with Entelar Group as part of your job application, and if you are successful in your job application and we onboard you as an employee.

We may also collect information about you from third parties, with your consent. This includes from recruiters, your referees and others when we carry out background checks (for example, credit, Police and employment checks). We may also collect information about you from public sources, like LinkedIn or public registers.

You can choose whether to provide information to us, but we might not be able to assist your employment application journey fully if you do not.

How we use your information

We will use your information for human resources and business management purposes (Purposes).
This includes, for example:

  • Carrying out recruitment processes to asses your suitability (including whether you can perform the role safely), eligibility and qualifications for employment with Entelar Group.
  • Conducting background and employment checks.
  • Assessing the terms of any employment we may offer you (e.g. remuneration).
  • Onboarding you as an Entelar Group employee (if your application is successful and you accept employment with Entelar Group) and then supporting and managing your employment with Entelar Group.
  • Statistical analysis and reporting.
  • Meeting our legal obligations.

How we share your information

We may disclose your information to third parties where required by law or with your consent (e.g. to your nominated referees and agents or service providers to carry out employment and background checks). We may also share your information with our partners (for example, service providers, recruitment partners and human resources advisors) for the Purposes above. We take care to select trusted partners.

How we hold your information

We store your personal information on our own servers here in New Zealand and in cloud data centres outside New Zealand. We take care to carefully select data centre and storage service providers whom we trust with your information.

Your application information (e.g. the cover letter and CV you submitted to apply for a specific role) will be held on Entelar Group’s candidate database for a year. You can delete it sooner if you want to, without losing your Entelar Group Careers profile.

You can also delete your Entelar Group Careers profile (e.g. the kind of jobs you’re interested in, your skills and experience and contact information) at any time. Or you can keep your Entelar Group Careers profile and continue to be considered for jobs. After a year of profile inactivity (if you don’t log in or haven’t received job alerts) we’ll check whether you still want your profile. If you do not choose to retain your profile, it will automatically be deleted one month later.

If your application is successful and you accept employment, Entelar Group will continue to hold any information required to onboard you and manage your employment.

Accessing and correcting your information

Please make sure that your personal information is accurate, complete, up-to-date and not misleading when it is disclosed to Entelar Group. You can log into your Entelar Group Careers profile and update your information any time, including your information if you wish.

Before processing your request, we may contact you to verify your identity, confirm your request and advise of any charges that may apply. Occasionally, we may withhold any information on one of the grounds set out in the Privacy Act 2020.
